Ark Sign & Digital Ltd (“Ark”, “we”, “us”) is a sign company based at Unit 7, Levens Hall Park, Lund Lane, Killinghall, Harrogate HG3 2BG. We are the controller of the personal information described here. Registered in England and Wales, company number 11102024.

What we collect

When you send an enquiry through our website we collect your name, email address, phone number (if you give it), the project location, the type of work, your message and any photos you attach. We also record the page you sent it from and a scrambled (hashed) version of your IP address, used only to stop spam and repeated submissions. We never store the address itself.

If you phone or email us, or become a customer, we keep what you tell us and what we need to quote, make, fit and invoice the work: contact details, site details, drawings, photos and payment records.

How we use it and why

To reply to your enquiry and prepare a quote. Lawful basis: steps you ask us to take before entering a contract, and our legitimate interest in answering people who contact us.
To carry out and invoice work you order. Lawful basis: performing our contract with you.
To keep financial records. Lawful basis: legal obligation (HMRC and Companies House rules).
To keep the website secure and free of spam. Lawful basis: legitimate interests.

We do not sell your information, use it for automated decision-making or add you to a marketing list. If we ever want to send you marketing, we will ask first.

Who we share it with

We only share information with services that help us run the business, under contracts that require them to protect it:

Supabase stores website enquiries on servers in London (UK).
Resend delivers the enquiry email to our team and the confirmation copy to you.
Vercel hosts this website and keeps short-lived server logs.
Our email, accounting and IT providers, and professional advisers such as our accountant, where needed.
Subcontractors or site contacts, only where needed to survey or install your project.

Some of these providers are based in, or can access data from, the United States. Where that happens, the transfer is protected by the UK International Data Transfer Addendum, the UK–US data bridge or equivalent safeguards.

How long we keep it

Enquiries that do not lead to work: 12 months from our last contact, then deleted.
Customer and job records: 6 years after the end of the financial year the work was invoiced in, as required for tax and accounting.
Photos of finished work we may keep for longer as part of our project archive. We will not publish photos you sent us of your premises without asking.

Cookies and analytics

This website does not set advertising or tracking cookies. We use privacy-friendly visitor statistics that do not use cookies or identify you. Project films only load from YouTube (in its privacy-enhanced mode) when you press play.

Your rights

Under UK data protection law you can ask us to give you a copy of your information, correct it, delete it, restrict or object to how we use it, or move it to another organisation. Email info@arksigns.uk and we will reply within one month. There is no charge.

If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Keeping it safe

Enquiries are stored in a database that only authorised Ark staff can read, sent over encrypted connections and never shown publicly.
